Adding Users with Limited Permissions
A guide for company owners on how to invite team members who can view consortium workspace opportunities and collaborate, without giving them access to your financials or the ability to edit your company profile.
TABLE OF CONTENTS
Overview
As a company owner, you may want to bring team members into the platform so they can participate in consortium workspace discussions, review shared opportunities, and collaborate with partners, all without exposing your company financials or letting them change your company profile.
This guide walks you through the three steps to set that up:
- 1Invite the person as a registered user on the platform.
- 2Add them as a member of the consortium workspace so they can see opportunities, links, files, and chat.
- 3Restrict their edit permissions so they cannot view financials or modify your company profile.
NOTE
Limited users will still be able to see the consortium workspace, post and comment on opportunities, and participate in chat. They will not see your financials, data room documents, or be able to edit your company information.
Who Can Access Your Company
By default, only you (the company owner) and platform admins can see your company data. Adding a user through the steps below gives them targeted access without full visibility.
Access Tiers
FULL OWNER ACCESS
WHO: You and any co-owners listed in owner_emails
SEES: Everything: profile, financials, documents, workspace
EDITS: All areas
LIMITED TEAM MEMBER
WHO: Users you invite with restricted permissions
SEES: Consortium workspace: opportunities, links, chat, events
EDITS: None on your company profile or financials
NO ACCESS
WHO: Anyone not explicitly invited
SEES: Nothing about your company
EDITS: Nothing
Step 1: Invite a Team Member
First, invite the person to the platform so they can log in. You can do this from the Invite tab in your Company Owner Dashboard.
- 1Open your Company Owner Dashboard and select the company you manage from the switcher at the top.
- 2Navigate to the Invite tab (or the Team section in your Profile tab).
- 3Enter the person's email address and choose the user role. For a limited team member, invite them as a standard user role.
- 4Click Send Invite. The person receives an email with a link to register and create their password.
- 5Wait for them to accept the invite and complete registration. You will see their status update in the invite list.
NOTE
The user role determines their base platform access. You will further restrict their company-specific permissions in Steps 2 and 3 so they cannot see financials or edit your profile.
Step 2: Grant Consortium Workspace Access
Once the user has registered, add them as a member of the consortium workspace so they can see opportunities, links, files, chat, and events.
- 1Open the Consortium Workspace page from the Workspaces tab in your dashboard or the Consortiums page.
- 2Select your consortium from the switcher at the top.
- 3Go to the Members tab in the workspace.
- 4Click Invite Member or Add Member.
- 5Enter the registered user's email address.
- 6Set their member type. For a limited team member, choose consortium_member.
- 7Set their permission flags: allow posting chat if they should participate in discussions, but leave scheduling meetings and managing events off unless you want them to organize workspace activities.
- 8Click Save. The user now appears in the workspace member list with an invited or active status.
NOTE
Workspace membership is what grants visibility into opportunities, links, files, and chat. Without this step, the user cannot see the workspace at all.
Step 3: Restrict Edit Permissions
Now restrict what the user can do on your company profile. Use the Company Permissions panel in your Owner Dashboard to turn off edit access for profile, financials, and documents.
- 1Open your Company Owner Dashboard and select your company.
- 2Navigate to the Access tab or the Permissions section within the Profile tab.
- 3Find the user in the team members or permissions list. If they do not appear, add them by their registered email.
- 4For that user, set the following permission flags to off (unchecked):
- 5Can Edit Profile: off. This prevents them from changing your company name, description, branding, team, milestones, or compliance info.
- 6Can Edit Financials: off. This hides the Financials tab and blocks access to your advanced accounting, MRR, cap table, and operating expenses.
- 7Can Edit Documents: off. This blocks them from uploading, editing, or deleting data room files.
- 8Click Save to apply the restrictions.
IMPORTANT
If no permission record exists for a user, they may retain default access. Always create an explicit permission record with the flags turned off to guarantee the restrictions are enforced.
Step 4: Verify What They Can See
After setting permissions, verify the user\'s experience by confirming what they can and cannot access.
What They CAN See
CONSORTIUM OPPORTUNITIES
View, post, and comment on RFPs, grants, and contracts in the workspace.
WORKSPACE CHAT
Participate in broadcast and direct messages with workspace members.
SHARED FILES AND LINKS
Access documents and links posted to the consortium workspace.
MEMBER DIRECTORY
See other workspace members and their member types.
What They CANNOT See
COMPANY FINANCIALS
Advanced accounting, MRR, cap table, operating expenses, and P&L are hidden.
DATA ROOM DOCUMENTS
Confidential files in your data room are not visible to limited users.
COMPANY PROFILE EDITING
They cannot change your name, description, branding, team, or compliance info.
INVESTOR ACCESS MANAGEMENT
They cannot approve or revoke investor access to your company.
Permission Summary Table
Use this table as a quick reference when configuring a limited team member.
| AREA | FULL OWNER | LIMITED MEMBER |
|---|---|---|
| Company Profile | View and edit | View only (if public) |
| Financials and Accounting | View and edit | Hidden |
| Data Room Documents | View, upload, edit, delete | Hidden |
| Consortium Opportunities | View, post, comment | View, post, comment |
| Workspace Chat | Full access | Full access (if can_post_chat is on) |
| Workspace Files and Links | View and upload | View only |
| Investor Access Management | Approve and revoke | No access |
| Team Member Invites | Invite and manage | No access |
Removing or Revoking Access
If a team member leaves or no longer needs access, you can revoke their permissions at any time.
- 1To remove workspace access: open the Consortium Workspace, go to the Members tab, find the user, and set their status to suspended or remove them from the member list.
- 2To remove company edit permissions: open the Access tab in your Owner Dashboard, find the user in the permissions list, and delete their permission record or set all flags to off.
- 3To fully remove the user from the platform: contact a platform admin who can deactivate their account from the Admin portal.
NOTE
Revoking workspace access immediately hides the workspace from that user. Revoking company permissions immediately hides your financials and data room from them.
