Consortium Workspace Opportunities

A guide for consortium workspace members on how to share RFPs, grants, contracts, and collaboration opportunities with your team. Learn how to post an opportunity, tag companies and partners for attention, attach documents, run threaded discussions, and track the status of every opportunity from the Opportunities tab.

SECTION 01

What Are Workspace Opportunities?

The Opportunities tab in a Consortium Workspace is where consortium members share and collaborate on RFPs, grants, contracts, partnerships, and other solicitation opportunities. Instead of emailing a PDF around, you post the opportunity to the workspace where the whole team can see it, download the attached document, tag the right stakeholders, and run a threaded discussion in one place.

Every opportunity captures a title, type, status, optional due date, an attached document or external link, free-form tags, and tagged portfolio companies and partners. Members can comment, assign a lead responder, and update the status as the team progresses through the response.

NOTE

Opportunities are scoped to the consortium workspace. Only members of that workspace can see and interact with its opportunities. Admins can see all opportunities across every consortium.

SECTION 02

Accessing the Opportunities Tab

To open the Opportunities tab:

  1. 1Sign in and navigate to the Consortium Workspace page.
  2. 2Select your consortium from the switcher at the top of the page. You will only see consortiums you are a member of.
  3. 3Click the Opportunities tab in the workspace navigation bar.
  4. 4You will see a list of all opportunities shared in this workspace, most recent first.

NOTE

If you do not see the Opportunities tab, you may not have workspace access. Ask your consortium lead or an admin to add you as a workspace member.

SECTION 03

Posting a New Opportunity

Any workspace member with posting permission can share a new opportunity:

  1. 1Click the Add Opportunity button at the top right of the Opportunities tab.
  2. 2Enter a Title that summarizes the opportunity (for example, "DoD SBIR Phase II Solicitation").
  3. 3Choose an Opportunity Type: RFP, Grant, Contract, Partnership, Solicitation, or Other.
  4. 4Optionally set a Due Date if the opportunity has a submission deadline.
  5. 5Add free-form Tags (comma separated) to help your team filter and find the opportunity later.
  6. 6Write a Description explaining what the opportunity is, why it matters, and what the team should look at.
  7. 7Optionally paste an External Link to the RFP or source page.
  8. 8Optionally attach a supporting document (see the Attachments section below).
  9. 9Optionally tag portfolio companies and partners for attention (see the Tagging section below).
  10. 10Click Post Opportunity. The opportunity is created instantly and appears at the top of the list.

Opportunity Types

RFP

A formal Request for Proposal from a government or enterprise buyer.

GRANT

A funding grant, such as SBIR/STTR, DOE, or foundation awards.

CONTRACT

A contract opportunity or sub-contracting opening.

PARTNERSHIP

A partnership, joint venture, or teaming agreement.

SOLICITATION

A broad solicitation that may not fit a specific RFP or grant category.

OTHER

Any other opportunity worth sharing with the consortium team.

Opportunity Statuses

OPEN

Newly posted, the team has not started a response yet.

IN PROGRESS

The team is actively reviewing or preparing a response.

SUBMITTED

A response has been submitted to the buyer or agency.

WON

The opportunity was awarded and won.

LOST

The opportunity was not won. Retain for records.

ARCHIVED

No longer active. Kept for historical reference.

SECTION 04

Tagging Companies and Partners

Tagging is how you make sure the right stakeholders see an opportunity. When you tag a portfolio company or partner, their owners receive an automatic email notification prompting them to log in and review the opportunity, even if they are not yet active workspace members.

How to Tag

  1. 1In the opportunity form, find the Tag for Attention section below the description field.
  2. 2Under Portfolio Companies, click any company chip to tag it. Tagged chips turn blue with a checkmark.
  3. 3Under Partners, click any partner chip to tag it. Tagged partner chips turn light blue with a checkmark.
  4. 4Click a tagged chip again to remove it.
  5. 5When you post the opportunity, the tagged company and partner names are displayed on the opportunity card for all members to see.

NOTE

Only portfolio companies belonging to this consortium and partners represented in the workspace are available to tag. If a company or partner is missing, they may not be linked to this consortium yet. Contact an admin to add them.

Who Gets Notified

  1. 1All active workspace members who are registered platform users receive an email when any new opportunity is posted.
  2. 2Owners of tagged portfolio companies and partners receive an additional email alerting them they were specifically tagged for attention.
  3. 3The opportunity poster does not receive a notification for their own post.
SECTION 05

Attaching Documents and Links

You can attach a supporting document, link to an external source, or both on every opportunity.

Attaching a Document

  1. 1In the opportunity form, click the dashed upload zone labeled "Attach RFP or supporting document".
  2. 2Select a file from your computer. Supported types include PDF, DOCX, XLSX, PPTX, and more.
  3. 3The file uploads and displays its name, size, and type. Click the zone again to replace the file if needed.
  4. 4When you post the opportunity, members can preview, download, or open the attached document directly from the opportunity card.

Linking an External URL

  1. 1Paste the URL into the External Link field in the opportunity form.
  2. 2If you enter a URL without a protocol, the system automatically adds "https://" for you.
  3. 3When posted, members can click the external link icon on the opportunity card to open the source page in a new tab.

NOTE

Use the document attachment for the actual RFP or solicitation file, and the external link for the agency or buyer landing page. Members can access both from the opportunity card without leaving the workspace.

SECTION 06

Commenting and Discussion

Every opportunity has a threaded discussion section. Click the chevron or the comment count on any opportunity card to expand it and see the full conversation.

Adding a Comment

  1. 1Expand the opportunity card by clicking the chevron arrow or the comment count link.
  2. 2Type your comment in the composer at the bottom of the expanded section.
  3. 3Press Cmd/Ctrl + Enter or click the Send button to post your comment.
  4. 4Your comment appears immediately with your name, member type badge, and timestamp.

Notifying Members

  1. 1Check the Notify All Members box below the composer to email every active workspace member about your comment.
  2. 2Type @ followed by a member name or email in your comment text to mention a specific person. Mentioned members receive an email alert even if they are not watching the workspace live.
  3. 3If you include an @mention, the system detects it automatically and notifies the mentioned member, regardless of the Notify All Members checkbox.
  4. 4The comment author is never notified about their own comment.

Managing Comments

  1. 1Admins and the original comment author can delete any comment using the trash icon on the comment row.
  2. 2Comments are listed in chronological order, oldest first, so the discussion reads top to bottom.
  3. 3Each comment shows the author avatar, name, member type, and posting time for full context.

NOTE

Use comments to coordinate the response, ask questions, share analysis, or flag risks. Keep the discussion on the opportunity card so the full context stays with the opportunity record instead of getting lost in email threads.

SECTION 07

Email Notifications

The workspace sends automatic email notifications to keep the team informed without requiring everyone to watch the workspace constantly.

NEW OPPORTUNITY POSTED

All active workspace members who are registered platform users receive an email when a new opportunity is shared. Tagged company and partner owners also receive a notification.

COMMENT WITH NOTIFY ALL

When you check Notify All Members on a comment, every active workspace member receives an email about your comment with a link back to the opportunity.

TAGGED FOR ATTENTION

Owners of portfolio companies and partners you tag on an opportunity receive an email prompting them to log in and review, even if they are not yet workspace members.

@MENTION ALERT

When you @mention a member in a comment, that specific person receives an email alert with the comment text and a link to the opportunity.

NOTE

Email notifications only reach registered platform users. If a member has been invited but has not yet accepted their invitation and created an account, they will not receive emails until they register. Encourage new members to accept their invite promptly.

SECTION 08

Managing and Filtering Opportunities

The Opportunities tab includes search and filter controls to help you find what you need quickly.

Search

  1. 1Use the Search box at the top of the tab to find opportunities by title, description, or tag.
  2. 2The search matches partial words and is not case sensitive.

Filters

  1. 1Use the All Types dropdown to filter by opportunity type (RFP, Grant, Contract, etc.).
  2. 2Use the All Statuses dropdown to filter by status (Open, In Progress, Submitted, etc.).
  3. 3Combine search and filters to narrow the list to exactly what you need.

Updating Status and Assignment

  1. 1Expand an opportunity card to reveal the collaboration controls.
  2. 2Use the Status dropdown to update the workflow status as the team progresses.
  3. 3Use the Assign To field to set or change the lead responder email for the opportunity.
  4. 4Status and assignment changes save automatically when you click away from the field.

Previewing and Downloading

  1. 1Click the eye icon on an opportunity card to preview an attached document inline in a modal viewer.
  2. 2Click the download icon to download the attached document to your computer.
  3. 3Click the external link icon to open the external URL in a new browser tab.

Deleting an Opportunity

  1. 1Only the opportunity poster and admins can delete an opportunity.
  2. 2Click the trash icon on the opportunity card to remove it permanently.
  3. 3Deleting an opportunity also removes its comments. Use with care.

Who Can Do What

Workspace opportunities use a simple permission model based on your workspace member type and platform role.

POST AN OPPORTUNITY

Any member with chat posting permission (admins, company owners, partners, and members with can_post_chat enabled).

COMMENT ON AN OPPORTUNITY

Any member with chat posting permission.

UPDATE STATUS AND ASSIGNMENT

The opportunity poster, the assigned responder, admins, and any workspace member of the same consortium.

VIEW AND DOWNLOAD DOCUMENTS

All workspace members of the consortium.

TAG COMPANIES AND PARTNERS

Any member who can post an opportunity.

NOTIFY ALL MEMBERS ON A COMMENT

Any member with chat posting permission.

DELETE AN OPPORTUNITY

Only the original poster and admins.

DELETE A COMMENT

Only the original comment author and admins.
